This Policy brings together five major IT components used in every business:
- Software;
- Hardware;
- email;
- internet; and
- Backups.
This Policy provides you with a comprehensive guide as to what to use, what to do, what not to do in respect to each of these areas. The Policy makes employees and contractors aware of what your business deems to be an acceptable and unacceptable use of your IT resources.
The Policy outlines legal risks, what laws/regulations employees must be aware of and not breach, the consequences for breach of the email Policy, and sets out email best practice that is to be followed in your business. Best practice includes how to write emails, attachments, replying to emails that have been received, maintenance of the email system and individual email archives.
The Minimal data backup section of the Policy defines the need for performing periodic computer system backups to ensure that critical data and archives are adequately preserved and protected against data loss and destruction. Your business must backup its software and information. There are no exceptions to this.
The Policy sets out why a business needs to backup data and why all employees and staff members need to be fully aware of this policy. It deals with minimum physical security for the backup system, frequency of backups, storage of backups, employee responsibilities, length of data retention, how to document backups and backup files.
This Policy is one of the essential policies need in business today.
